Overview

An ERP system for a company handling the technical management of real estate — an operations hub where building administrators report defects and the company carries them from report, through maintenance crews working in the field, to a signed protocol and the archive. I designed and built the whole thing from scratch: a web app and an installable PWA for mobile — one codebase, with AI modules inside. At the client's request the project stays anonymous — I show the scale and how it works, without the real interface or data.

A company coordinating repairs across dozens of buildings already used a defect-management system, but it was outdated and offered a fraction of the features they needed. The new application had to replace it and close the whole process in one place: administrators report defects directly, the company runs the entire repair workflow, and maintenance work logs are transparent to both sides. The key requirement: it can be complex inside, but it has to be simple to use — non-technical people work in it too.

I built one application that runs as a web app and an installable PWA on mobile — from a single codebase, with automatic updates. The core is the defect workflow: a report raised against a building, a maintenance worker assigned, field work with photos compressed on the device, comments and notifications, through to a PDF protocol with the company's logo and the archive. Around it grew further modules: tasks, inspections, offers, orders, a maintenance log, a leave calendar, a building register with an interactive map, Excel import/export, and a manager dashboard with trends, resolution rate and team load. The backend runs on Firebase with real-time data, and Gemini / Vertex AI powers a document-and-invoice scanner and a day-to-day assistant. The app is split into chunks — PDF, charts, maps or the editor load only when needed — so despite its scale it stays fast.

There are five roles in the system — from the company owner to a site technician — and each logs into the same application but sees a different menu and a different slice of data. The owner gets the full picture: every building, offers, orders, users, work statistics and reports. A building administrator — or a housing community board with the same access — sees their own properties: they report defects, track repair status and history and the work of maintenance staff assigned to their buildings, and use the offers module to request quotes for repairs that fall outside the contract. A maintenance worker gets a simplified, mobile view of their tasks: what, where and by when, with photos and a protocol to fill in straight from the phone. On top of that: a leave calendar, internal announcements and employee profiles. Permissions are separated at the data level, not just hidden in the UI — each role can only reach what belongs to it.

About five months from the idea, the system entered daily operations and keeps growing. It covers around 50 buildings — over 10 thousand units — and about 100 people work in it: building administrations, the back office and maintenance crews in the field. Every defect has a full history from report to protocol, and the work logs give administrations visibility they never had before. The system is part of the client's competitive advantage.

Employees submit leave requests directly in the system, everything shows up in the calendar, so planning staffing across sites is no longer guesswork. On top of that everyone has a role with matching permissions — every employee sees their own tasks, while a manager and a director have the full picture of the company — so nobody drowns in information that doesn't concern them. Bartek built the ability to assign roles, scopes of work and separate tasks for the employees of our company.

From an owner's perspective, I really appreciate the dashboard. Trend charts, task resolution rate, the most problematic clients, team workload — I can see the bottlenecks straight away and make decisions based on data, not gut feeling. We also run client offers and material orders in the system, with e-mail notifications about replies, and completed items go to the archive, so you can always come back to them. The AI features were a pleasant surprise — the built-in assistant and the scanner that reads documents and saves us manual retyping. I expected a gimmick; we got real time savings.

The system is fast, on desktop and on the phone, and updates install themselves with no maintenance on our side. I rate the collaboration on the implementation very highly: the application was developed around our real needs and processes, not the other way round, and each new feature appeared exactly where we needed it.
